Callaro.ai ("Callaro", "we", "our", or "us") operates a voice AI platform designed to help businesses automate and complete phone-based workflows. This Privacy Policy explains how we collect, use, disclose, and protect information about you when you use our services, including our website at callaro.ai, our platform, and any associated products.

Information We Collect

Information You Provide
- Account registration details: name, email address, company name, role
- Billing information (processed via payment processors — Callaro does not store raw card data)
- Communications you send us (support tickets, demo requests, emails)
- Configuration data: call scripts, knowledge bases, integration credentials you upload
Information Collected Automatically
- Platform usage data: feature usage patterns, call volumes, session timing
- Log data: IP address, browser/device type, pages visited, referring URL
- Cookies and local storage (see Cookies section)
Call & Conversation Data
- Phone call recordings, transcripts, and summaries generated by the platform
- Actions executed during calls (CRM updates, bookings, payments triggered)
- Quality flags, sentiment signals, and outcome tags
Note: You are responsible for obtaining any legally required consent from your end customers before recording calls. Callaro provides tools to include disclosure notices, but compliance with applicable recording laws (e.g., TCPA, GDPR, state two-party consent laws) is your responsibility.
How We Use Your Data
- Provide, operate, and improve the Callaro platform
- Process your configuration and run AI voice agents on your behalf
- Send you product updates, operational notices, and support responses
- Detect fraud, abuse, and security incidents
- Comply with legal obligations
- Conduct aggregated, anonymized analytics to improve our models and features (never using your proprietary business data to train shared models without explicit consent)
We do not sell your personal data to third parties. We do not use your call recordings or transcripts to train general-purpose AI models without your explicit written consent.
Data Sharing
We may share information in limited, controlled circumstances:
- Service providers: Infrastructure, hosting, payment processors, and analytics vendors who process data on our behalf under strict data processing agreements
- Your team: Authorized users on your account can access your workspace data per the permissions you configure
- Your integrations: When you connect Callaro to third-party systems (CRM, helpdesk, etc.), data flows to those systems per your configuration
- Legal requirements: When required by law, regulation, court order, or to protect rights, safety, or property
- Business transfers: In connection with a merger, acquisition, or sale of assets (you will be notified)
Data Retention
We retain your data for as long as your account is active and for a reasonable period thereafter to meet legal obligations. Specifically:
- Call recordings and transcripts: retained for 90 days by default; configurable on enterprise plans
- Account and billing data: retained for 7 years to meet financial recordkeeping requirements
- Deleted account data: purged within 30 days of account deletion request (excluding data legally required to be retained)

Cookies & Tracking
We use the following types of cookies:

Security
We implement industry-standard security measures including encryption at rest and in transit (TLS 1.2+), access controls, role-based permissions, audit logging, and regular security reviews. Our infrastructure is hosted on SOC 2-compliant cloud providers.
Despite these measures, no system is completely secure. If you believe your account has been compromised, contact us immediately at legal@callaro.ai.
Third-Party Services
Our platform integrates with third-party services (CRMs, helpdesks, payment providers, telephony carriers). When you connect these services, their own privacy policies apply to the data they receive. We recommend reviewing the privacy policies of any third-party integrations you enable.
Our website may use tools such as analytics services. These tools may collect anonymized browsing data subject to their own terms.
Refund Policy
Callaro does not offer refunds on subscription fees, usage charges, or one-time payments as a general policy. All sales are considered final upon payment.
Exceptions may be considered on a case-by-case basis at the sole discretion of Callaro. Approved refund scenarios may include:
- A documented billing error on our part
- A service outage or failure that materially prevented use of the platform for an extended period
- Other exceptional circumstances reviewed and approved by our team
To submit a refund request, email legal@callaro.ai with the subject line "Refund Request — [Your Account Email]". Include the reason, supporting documentation, and the specific charge(s) in question. All requests are reviewed within 10 business days. Approval is not guaranteed.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will notify you by email or by posting a prominent notice on our website. Continued use of our services after the effective date constitutes your acceptance of the updated policy.
